NON-FOOD VENDOR AGREEMENT & REGULATIONS1. This event shall take place at the following location: Lake Havasu State Beach, Windsor #4 at 699 London Bridge Road,
Lake Havasu City, AZ. 86403.
2. Lake Havasu Music Brews & BBQ Championship is promoted by C & M Events, LLC./Cooking 4 Kids & Hunger and is a
Charity Fundraising Event. Proceeds will benefit several local food organizations that feed both the elderly and children.
In addition to food banks, we will also contribute to youth organizations providing education and recreation. Vendor’s
package and confirmations will be sent out via e-mail, C & M Events takes no responsibility for vendors not receiving
packages or confirmations due to e-mail problems.
3. This event is based on a first come basis. However C & M Events, LLC. reserves the final right of refusal to any and all
vendors. Vendor applications will only be considered if completed in full with items to sell listed. This event will not have
more than one vendor selling the same primary products, however there may be instances where vendors have similar
products. Fees are based solely on booth sizes (10’ x 10’ or 10’ x 20’) and electrical needs. Fees are to be paid in full prior
to January 18, 2013 and are non-refundable. Any applications accepted after application deadline will be on a cash only
basis, and will include an additional $25.00 late entry fee. All applications should include two (2) separate checks, one for
$50.00 for the cleaning deposit, which will be refunded at the end of the event when your space has been fully cleared.
The second check is for your space fees & electric if needed. Each vendor will be provided with a 10’ x 10’ or 10’ x 20’
space which includes a professional (4) four sided tent.
4. There is no “Rain Delay” schedule for this event, and if required the event may be canceled in whole or in part by C & M
Events, LLC. without prior notice. In the event of cancellation, vendors shall be refunded their booth fees no later than
March 15, 2013. In the event of partial cancellation, there shall be no refund. “Cancellation” shall mean that a vendor has
no opportunity to make any sales due to C & M Events, LLC. actions, not weather conditions. C & M Events, LLC. does
not guarantee any particular number of attendees or exhibitors at this event.
5. Vendors will be assigned to the main sales areas, which will be located in the upper parking area along the outer
boundaries. No Items May Be Sold Or Distributed In Any Other Areas Other Than Your Assigned Space. Vendors may
sell only those items submitted and approved on original list. All vendors must remain set-up for business until 6:00 PM
on Saturday January 26, 2013. All Vendors must vacate the event premises no later than 2:00 pm on Sunday January 27,
2013.
6. All items sold, represented or distributed are subject to the approval of C & M Events, LLC. No Alcoholic beverages or
water will be sold or distributed by anyone other than C & M Events, LLC. No flammable items, hazardous materials,
weapons, controlled substances or similar materials will be permitted on the premises.
7. Vendors shall continually police their area for safe and sanitary conditions. At the conclusion of the event, each vendor
shall be responsible for his/her own trash removal and shall restore the area to a condition as received on arrival, as
inspected by a designee of C & M Events, LLC. Failure to do so will result in your loss of your cleaning deposit. I will
remove my own trash from within my booth, and dump in the nearest dumpster located on the event site.
8. The event site will be open starting Thursday January 24, 12:00 noon - 6:00 p.m. for early set-up, and will again be open
from 7:00 a.m. on Friday January 25, 2013 for final set-up. Electrical powder will not be available until Friday January 25,
and will be shut down Saturday January 26. Vendors with larger rigs, are recommend to arrive early. No diesel generators
will be allowed.
9. Regular assigned vending selling hours are approximately:
Thurs. 6 p.m. - 10:00 p.m. / Fri. 10:00 a.m. – 10:00 p.m. / Sat. 9:00 a.m. – 6:00 p.m. / Sun. 9 a.m. – 2 p.m.
10. COMPLIANCE With LAWS:
Each vendor is responsible for researching and complying with all permits, fees, licenses and any other requirements as
outlined by the Arizona State Parks, City of Lake Havasu, Mohave County Environmental Health Department and all other
local, county, state and federal agencies. Vendor is responsible for paying the Arizona State Sales Tax and reporting the
location of receipts as Mohave County. In performing the services required hereunder, the performer shall comply with all
applicable local, county, state and federal ordinances and codes.
11. HOLD HARMLESS:
In recognition that there may be some risk, injury or property damage in such an undertaking at the Lake Havasu Music
Brews & BBQ State Championship, the undersigned vendor releases and hold harmless C & M Events, LLC./Cooking 4 Kids
& Hunger and any and all of its members/officers, Arizona State Parks for any and all liability for injury or damages to the
vendor, or which may result from his/her participation, or which may occur to third parties by the act(s) of the vendors,
his/her employees or agents. No action will be asserted or maintained against C & M Events, LLC./Cooking 4 Kids &
Hunger and any or all of its members/officers and or sponsors including but not limited to Arizona State Parks as a result of
any occurrence in any way with the Lake Havasu Music Brews & BBQ State Championship. Further the Vendor shall
defend any action so asserted or maintained arising out of any action taken by the vendor, his or her employees or agents.
12. LIABILITY:
As between the parties, each party shall be solely responsible for any and all liability arising from Personal Injury, including
death, or damage to property arising from the act or failure to act of the Respective Party or of its officials, Agents and
Employees pursuant to this agreement.
